We would like to inform you about changes to the "Personal Information & Sensitive Information Collection and Use Consent" used during personal information collection in the recruitment process.

Please review the changes below and refer to them when using the service.

  1. Changes: The following changes have been made to comply with the [Fair Hiring Procedure Act].

    1. Article 3 (Retention and Use Period): The retention and use period has been changed from 3 years from the application completion date to 180 days after the end of the recruitment process. Provisions regarding the protection of data subject rights, such as the return of recruitment documents and deletion of applicant information, have been added.

FAQ

How long will information of candidates who applied before the updated consent be retained?

Candidates who applied before August 8, 2025 are subject to the pre-change consent and will be retained for 3 years after application as before. Information of candidates who applied after the effective date will be completely deleted from the flex product after 180 days.

What specific information is deleted after 180 days?

All information submitted by the candidate during application, including resumes, portfolios, etc., will be deleted. After 180 days from application/registration, recruitment managers and evaluators will also no longer be able to view the candidate's information.

Our internal policy prohibits re-application within 1 year. If candidate information is deleted after 180 days, how can we filter duplicate applicants?

According to the "Fair Hiring Procedure Act," information of rejected candidates must be retained for 180 days after application. If you need to check for duplicate applicants due to internal recruitment policies, we recommend downloading and separately managing candidate information in advance.

What is the scope of candidates whose information is deleted 180 days after registration/application?

Candidates whose information is deleted 180 days after registration/application are those who were rejected and those who were accepted but did not join.

How does flex distinguish candidates who were accepted but did not join?

When a candidate who applied through flex's recruitment feature is finally accepted, they can be invited as an employee immediately after moving the candidate to the final acceptance stage. Candidates whose recruitment process was completed without being invited as employees are determined as accepted but not joined.

Will existing candidate information from before the change also be deleted?

No, existing candidate information will not be deleted. The policy applies to candidates registered/applied after August 8, and existing candidate information will not be deleted.

When will the first candidate deletion occur?

Since the policy applies to candidates who applied after August 8, 2025, the first deletion will begin on February 4, 2026.

  • Deletion condition: Candidates for whom 180 days have passed since rejection

  • Notification: Advance notifications are sent to administrators when there are candidates scheduled for deletion

    • Recipients: All recruitment managers

    • Timing: Every Monday at 10 AM, notifying of candidates scheduled for deletion the following week

    • When notification is clicked: Navigates to Recruitment > Candidate List page with the deletion-scheduled filter applied

      After clicking the button, we recommend selecting candidates that need backup, exporting data to Excel, and downloading attachments as well.
