Setting Up Emails for Sending to Candidates

In accordance with the Recruitment Procedures Act, starting 8/8 (Fri), the personal information retention and usage period for applicants will be changed to 180 days.

Create email templates to send to candidates and send notification emails for each recruitment stage.

Emails sent to candidates ([email protected]) cannot be edited or modified separately, and replies are not possible.

Email Template Default Settings (Auto-Send, General)

  • Go to the left menu [Recruitment] → top right [Settings] → click [Email Template Settings] to navigate to the page where you can manage email templates.

  • On the email template settings screen, you can see it is divided into [Auto-Send] and [General].

  • Auto-Send Emails

    • These are emails automatically sent when a candidate completes an application through a posting.

    • Only the application confirmation email is provided for auto-send.

    • You can edit the subject or content of auto-send emails.

    • Auto-send is set to OFF by default. Please enable the [Auto-Send] toggle at the top right before use.

  • General Emails

    • These are manually sent email templates.

    • By default, [Screening Pass Notification] and [Screening Rejection Notification] email templates are provided as examples.

    • Use pre-created email templates when a candidate's screening stage changes and notifications need to be sent.

Adding Email Templates

  • Click [Create Email Template] at the top right → click [Create New Template]

  • If you want to create one by modifying an existing template, click [Duplicate Existing Template].

  • First, enter the [Template Title].

    • [Template Description] is a field for noting when this template should be sent.
      Other recruitment managers can send the appropriate email by referencing the template description.

    • [Email Subject] is the actual subject of the email sent to the candidate!

    • After entering the body content, drag text to change the text formatting.

    • The email content can be composed using the following features:

      • Placeholders: #Candidate, #Job Posting, #Company, #Screening Stage are automatically filled in according to each candidate.

      • Add Image: Images attached within the email. There is no limit on the number, but the total file size is 20MB.

      • Add Link: Enter links that need to be included in the email body.

      • File attachments can also be registered in templates. Click [Attach File] at the bottom.


FAQ

Can I create additional auto-send email templates?

Currently, only the Application Confirmation email provided by default in flex can be used for auto-send.
