View evaluation scorecard question settings
You can add evaluation scorecard questions if you enabled [Competency Item Integration] in the evaluation items stage earlier.
After adding a [Scorecard] question, click the three dots in the upper right → click [Add Score/Grade] to add score or grade options within the scorecard.
Click the three dots on the right side of the scorecard, then click the [Score/Grade] tab to change the related settings.
You can edit the text that says "Evaluation Score".
You can configure the evaluation result to use grades instead of scores.
Maximum Score: If the evaluation result is set to score type, you can set the maximum score up to 10 points.
Score Description: If the evaluation result is set to score type, you can enter a description for each score level.
Click the three dots on the right side of the scorecard, then click the [Comment] tab to change the related settings.
You can edit the text that says "Evaluation Basis".
You can choose whether this field is required.
You can set the maximum character count. The maximum number of characters that can be entered is 10,000.
Clicking Remove Comment will delete the column where evaluators can leave an evaluation basis.
After adding a scorecard question, click the three dots on the right → click the [Score/Grade] tab, then enable [Evaluation Breakdown] to add sub-questions.
After configuring [Evaluation Breakdown], you can change the grade calculation method to automatic calculation in [Grade Calculation Method] on the right side, and set weights per question.
Enabling [Equal Weight Distribution] calculates the weights for all questions as 'equal'.
When the grade calculation method is changed to [Automatic Calculation], the grade display format at the bottom of the evaluation element changes as shown below. Grades are automatically calculated based on the scores and grades selected by the evaluator.
Additionally, when grades are automatically calculated, score and grade type questionnaires can have weights set per question in the [Weight] tab.
However, once you set per-question weights within the scorecard, you cannot set additional weights for other question types or grade-type questionnaires.
When [Grade Calculation Method] is set to [Manual Input],
per-question weights and weights within the scorecard cannot be set, and
the evaluation form changes so that the evaluator directly 'selects' the grade.
Setting Up Performance Evaluation Questions and Grade Calculation Method
The basic questions are the same as the competency evaluation question settings described above.
Change the [Grade Calculation Method] on the right to [Automatic Calculation] to set per-question weights within the scorecard. The final grade for performance evaluation is also automatically calculated based on the scores/grades entered by the evaluator.
When the grade calculation method is changed to [Manual Input], the evaluator can directly select the final grade for performance evaluation.
Step-by-Step Evaluation Form Settings - Custom Evaluation Questions and Grade Calculation Method
Custom evaluation elements can also use various questions just like competency and performance evaluations. If [Use Grades] is enabled on the right, grade questions are available. However, scorecard questions cannot be added for custom evaluation elements.
Step-by-Step Evaluation Form Settings - Evaluation Detail Settings and Evaluation Instructions
In [Evaluation Detail Settings] on the right side of the step-by-step evaluation form settings, you can configure whether to use grades for each evaluation element. This setting must be enabled to use grade questions, per-question weight settings, and the automatic overall grade calculation feature.
For evaluation elements where [Use Grades] is disabled, the grades for that evaluation element will be deactivated.
You can configure whether to automatically calculate grades for each evaluation element through the [Grade Calculation Method] setting.
If you add score-type or grade-type questions and set per-question weights, grades are automatically calculated based on those weights.
For example, if you set a score-type question and a grade-type question each with 20% and 80% weights in a custom evaluation (attitude evaluation), the grade for that custom evaluation (attitude evaluation) is calculated based on those per-question weights.
If you are conducting 2 or more rounds of downward evaluation and grades are used in the previous downward evaluation stage, you can use the [Downward Grade Adjustment] setting in subsequent downward evaluation stages.
Example: Based on the grade calculated in the 1st downward evaluation, you can adjust the grade in the 2nd downward evaluation stage.
Click [Downward Grade Adjustment] to select [Adjustment Unit] — choose whether to adjust by score or by grade.
Grade adjustment unit is the default, but if you change to score adjustment, the use of score for grades in the subsequent grade system stage is enabled by default.
Enable the [Adjustment Range Limit] option to preset the range within which the downward evaluator can adjust grades. This is used to prevent excessive grade changes when adjusting upward or downward.
When adjustment range limit is off: There is no restriction on the grade adjustment range.
When the limit is on: You must enter the allowable grade adjustment range.
Example: If you set downward to 0 and upward to +10, downward adjustment is not possible, and upward adjustment can be made within a maximum range of +10.
The adjustment range limit number can only be entered as an integer, and there is no restriction on the input value. However, if the entered value exceeds the maximum range of the grade/score, the adjustment limit is automatically set to the maximum range.
Use [Comment Required] to configure whether the 2nd downward evaluator is required to write a comment when entering a grade.
In [Reference Materials] settings, you can select materials that evaluators can refer to while conducting evaluations.
Other Stage Evaluations: You can choose whether to provide other stage evaluations from the current evaluation cycle as reference materials. You can also choose whether to disclose the evaluator of the provided reference evaluation.
Past Evaluations: You can provide the evaluatee's past evaluation results as reference materials.
Recognition and Feedback: You can provide the evaluatee's received recognition and feedback as reference materials.
In [Evaluation Instructions Settings], you can enter instructions you want to convey to evaluators, or attach files to share with them.
If you want to carry over the settings from the previous evaluation form when configuring the next stage's evaluation form,
try using the [Import Settings from Another Stage] feature in the upper right.
You can import the evaluation questions and settings from the previous stage as-is.
FAQ
If I enter instructions in the Evaluation Instructions Settings, how will they be displayed to members?
When members are filling out their evaluation, the instructions will be displayed in the upper right of the evaluation writing screen as shown below.
If downward grade adjustment is used in the 2nd downward evaluation, what does the evaluation screen look like for the 2nd downward evaluator?
The 2nd downward evaluator can select (adjust) the evaluation grade while viewing the evaluation results left by the 1st downward evaluator.
I clicked Add Question but I can't find the option to select a grade.
Please check if grade usage is enabled in [Evaluation Detail Settings] on the right side!
Can I change the column order of the scorecard?
The column order of the scorecard cannot be changed!
Can I change the order of evaluation elements in the evaluation form stage?
The order of evaluation elements cannot be changed. If you use all of competency, performance, and custom evaluation elements, the evaluation form will be structured as competency → performance → custom evaluation elements. If you do not use the competency evaluation element, it will be structured as performance → custom evaluation elements.
I'd like to know what the performance evaluation input screen looks like for members!
Members receive notifications via their to-do list, in-product alerts, and email asking them to fill out the items to be evaluated.
By clicking the notification or to-do item, members can view the evaluation elements and weights for the current evaluation. In the [Select Competencies] section, members can select the competencies to be evaluated in this evaluation cycle.
In the [Performance Items] section at the bottom, you can click the input field to directly enter performance results, or click [Link Goal] to import the performance items to be evaluated from the [Goals] menu.
Only goals where the member is set as the goal owner or participant can be imported.
If a member clicks Submit without selecting the performance items and select competencies sections, a red indicator will appear along with a reason for the unset items.
During a performance evaluation, is it possible to restrict members from directly entering performance results and only allow them to select from pre-added goals?
The current system does not provide a feature to restrict members from directly entering performance results. However, if you want to run evaluations only for the [Goal] items, please follow the steps below.
Pre-Evaluation Guidance
Before the evaluation starts, please notify all members through a company-wide announcement: When filling out performance evaluation items, request that they add goals using [Link Goal] instead of 'direct performance entry'.
Approval Policy Configuration
Click [Settings] - [Approval Policy Management] - [Evaluation Item Approval] from the left menu at the bottom, then set up the evaluation item approval stages.
Approver Verification Process
Before approvers approve the evaluation items, please instruct them to click the [Goal Link Icon] in the [Performance Items] section to verify that the member has correctly linked their goals!
(Example screen: You can view the goal details by clicking the goal link icon.)
Can I create an evaluation without grades or scores?
If you want to run an evaluation without grades or scores, try selecting multiple choice, single choice, or text answer question types instead of score, grade, or scorecard types when adding or changing question types in Step 5 - Step-by-Step Evaluation Form!
