Entering Member Information for Payroll Settlement

A guide on the member information required for payroll settlement: personal info, employment/wage/salary contracts, special circumstances, and family info.

Payroll settlement can only be run smoothly when the relevant information is entered correctly.

Please fill in and verify all fields in order before running payroll settlement.

All information used for settlement can be quickly updated via web or Excel template in [Member Management] → [HR Info Management] → [Bulk Info Change] as shown in the image!

Personal Information Update

  • The following information must be entered in each member's profile under [Basic Info]:

    • Employee ID, Resident Registration Number: required.

    • Nationality: must be entered for foreign nationals.

    • Salary Account: required when generating transfer lists after payroll settlement.

Updating Employment Contract, Wage Contract, and Salary Payment Information

Member wage and salary payment information must be up to date for the system to automatically calculate the standard hourly rate, base pay, etc.! For smooth salary payment, check the Payment Item Settings Guide!

  • Employment Contract Info: Enter if a probation period salary rate applies during payroll settlement.

  • Wage Contract Info: To include a member in the payroll settlement, set the income type to Employment Income. Enter comprehensive contract work hours if you pay a fixed overtime allowance.

  • Salary Payment Info: Enter the monthly payment amounts for base pay, meal allowance, etc. If you have not yet set up payment items for members, check the Payment Item Settings Guide!

  • You can use the auto amount entry feature to easily fill in salary payment info.

  • If the base pay, fixed overtime allowance, or standard hourly rate seems different from your company policy, click below for details!

I want to know the calculation formula for base pay, fixed overtime allowance, and standard hourly rate!

  • Go to [Settings] → [Payment Items] → [Auto Amount Entry] at the bottom left of the menu to change the rounding policy (round up or round half)!

The calculation formula is as follows:

Annual salary KRW 36,000,000, monthly prescribed work hours 209h, no standard wage-inclusive allowances

Rounding to the nearest first decimal place

Monthly 10h comprehensive overtime contract:

  • Overtime calculated hours for 10h = 10h × 1.5 → 15h

  • Total calculated hours = 209h (monthly prescribed) + 15h (overtime calculated) → 224h

  • Base hourly rate = (Annual salary / 12) / Total calculated hours = (36,000,000 / 12) / 224h → KRW 13,393

  • Fixed overtime allowance = 15h × Base hourly rate → KRW 200,893

  • Payment base pay = 209h × Base hourly rate − Standard wage-inclusive allowances (meal allowance, etc.) → KRW 2,799,107

Special Circumstances Update (Income Tax Reduction, Student Loan Repayment)

  • In the member profile [Special Circumstances] tab, you can enter income tax reduction and student loan repayment information.

  • For members with special deduction circumstances such as SME income tax reduction, foreigner flat tax rate, or student loan repayment, please enter additional information.

If you want SME income tax reduction applied only during year-end settlement

In [Payroll Settlement → Settlement Template Settings → Deduction Items → Withholding Tax Settings], set the SME employment income tax reduction to [Not Applied] — this prevents the reduction entered in the member profile from being reflected in monthly payroll settlement.

Adding Family Information

  • In the member profile [Family Info] tab, you can enter dependents eligible for basic withholding tax deduction and child tax credit.

  • Basic deduction recipients are reflected in withholding tax (income tax) calculations during payroll settlement and become eligible for personal deductions during interim/year-end settlement — be sure to enter them when applicable.

    • Among basic deduction recipients, additionally enter any child tax credit eligible dependents.

    • Child tax credit applies only to children aged 8 to 20.


FAQ

What permissions are needed to update member information?

  • Member Employment Info Management: Add/edit work info, parental leave reduced hours, foreigner flat tax rate, student loan repayment, income tax reduction (SME income tax reduction), etc.

  • Member Basic Personal Info Management: Add/edit name, resident registration number, nationality, salary account, disabled/veteran status, family info, etc.

  • Member Contract Info Management: View and edit employment and wage contracts.

  • Member Payment Info Management: Add/edit profile — salary payment info.

  • Work Type and Policy Settings: Add/edit work types (work schedules) and work settings (work policies).

For security reasons, I don't want to enter the resident registration number in the profile.

The resident registration number is used as a key value when reflecting deduction amounts, so not registering it may cause difficulties during settlement. We recommend entering it.

Is salary payment information visible to members?

Salary payment information is only visible to administrators who have the [View Member Payment Info] or [Manage Member Payment Info] permission.

Members cannot view it themselves — they can only see the settled amounts on their pay stubs later.

How can I update salary items that are not included in the annual salary contract but must be reflected in payroll?

For items paid regularly outside the annual salary, add a payment item in the Payment Items settings as shown in the example below, and add it as an extra-salary item.
