Contract Form Template Management

In addition to the automatic employment and salary contracts provided by flex, you can customize and add any contract forms you need.

If you can copy an existing contract form by mouse drag, you can paste the content into the form creation window.

Only administrators with [Electronic Contract Management] permission can add or delete forms.

Adding a Contract Form

  • Click [Electronic Contract] on the left → [Add Contract Form] in the upper right.

  • You can create a contract form using the editor.

    • Enter the form name.

    • You can enter a description for the contract form.

    • Using the editor's formatting features, you can apply bold, underline, add tables, and more.

  • The added form can be found in the [Form Templates] list or on the [Select Electronic Contract] screen.

Auto-fill Fields and Custom Fields in Forms

Using auto-fill fields, you can format the required input values when creating a contract.

HR and personal information of members entered in flex can be automatically pulled in.

After a contract is completed, proceed with [Information Change Update], and based on the contract content filled in the auto-fill fields,

the member's contract information will be automatically updated.

However, information not provided by auto-fill fields (data within member profiles) cannot be pulled in automatically — if needed, please create and use [Custom Fields].

  • Type '@' to call up the auto-fill field you need, or select a field from the auto-fill fields panel on the right.

  • When using the contract allowance list field, not all wage items will be displayed — only wage items included in the annual salary will be shown and sent in the contract.

  • Auto-fill fields are provided by category as shown below. Try adding these fields to your contract form. Note that auto-fill fields cannot be added separately — for fields not provided by auto-fill fields, please use the [Custom Fields] feature to add fields and enter information.

  • If you want to add a field that is not in the auto-fill field values to the form, click the [+] button to the right of the [Custom Fields] tab, enter the field name and content, then click [Save] at the bottom.

  • For the custom fields you've added, you can directly enter the information for each field when submitting a contract request.

  • Click the [Preview] button at the top to review the content before saving the form. You can confirm that auto-fill fields are highlighted in blue and custom fields in green.

  • Click [Form Category] at the bottom right to classify the created form into employment, salary, or other categories. After categorizing, click the [Save] button at the top.

    • Form categories cannot be added, modified, or deleted separately.

Editing and Deleting Contract Forms

  • If you need to edit a contract, select the form and click the pencil button on the right to edit the form.

  • If you need to delete a contract, click the form and then click the [Delete] button in the upper right.


  • By default, [Auto Employment Contract] and [Auto Salary Contract] are difficult to edit. If editing is needed,
    click [Add Contract Form] on the left for cases where you need to modify the auto employment & salary contract

  • Click [Form Templates] at the bottom to view employment and salary contract templates. Read the content in parentheses, select the contract type to proceed with members, edit, and save for use.


FAQ

What are auto employment and salary contracts?

Auto contracts are forms provided by default in flex. You can generate employment contracts and salary contracts based on members' HR and contract information. Different contract types, salary conditions, etc. for each member are automatically reflected.

What are the default input, long text input, and required input options for custom fields?

  1. If you enter a default input, the information will be pre-filled when proceeding with the contract.

  2. You can change the text style when entering information. The information will be pre-filled with the changed style when proceeding with the contract.

  3. By enabling required input, you can configure it so that the field must be filled in before sending when proceeding with the contract.

Are the contract date and member seal fields mandatory?

Yes, the contract date and member seal fields must be included in the contract form.

They are designated as required fields for the validity of the contract — please note that it is not possible to delete them and save!

Can I download the contract form?

Contract forms cannot be downloaded separately. If you need the body content of a form, click the form edit button, copy the body content, and paste it into a Word or Hangul (HWP) file to download separately.

I accidentally deleted a form — can I restore it?

Deleted forms cannot be restored. Please make sure the form is safe to delete before deleting it.

Can I upload my company's own contract form template to use?

For flex electronic contracts, you need to create contract forms separately through the Electronic Contract menu — Add Form. You cannot upload a Word or Hangul (HWP) file to request a contract.

Can I copy a form template to use?

Unfortunately, copying form templates is not currently supported.

However, when adding a form, you can load an existing contract form from the [Form Templates] at the bottom and modify it for use.

Can I add non-taxable pay items such as meal allowance or childcare allowance to the contract?

Go to [Settings] -> [Pay Items] at the bottom of the left menu and add pay items (such as meal allowance) that match your company's operating policy. Then, add the auto-fill field called [Wage Allowance List] to the contract form.

When requesting a contract, you can enter the payment amount for each pay item created earlier, and the pay item details that make up the annual salary can also be reflected in the contract.

Note that it is not possible to pull in items by individual pay item — you must use the auto-fill field called [Wage Allowance List] to automatically pull in the pay items applied to the member!

Can I insert an image into the contract form?

Currently, the feature to insert a company logo or other images into the contract form is not supported. Please note that image insertion is not available in the contract form and template editing features.

Can I insert a checkbox into the contract form?

Currently, the electronic contract form editor does not support inserting checkboxes.

If you need a checkbox to obtain consent or agreement, you should insert a phrase in the contract content that can be construed as agreeing to the relevant clause.

I added a new contract form but cannot use the automatic amount calculation feature

When you add a new contract form and request a contract using that form, automatic amount calculation is not supported.

Automatic amount calculation is only available through the auto employment and salary contracts. For contract forms you create yourself, you need to enter amounts manually. If you find this inconvenient and want to use the wage allowance table provided by flex in your newly added contract,

change the member's profile -> contract and salary payment information first -> then select the manual form and request the contract, and the automatically calculated amounts reflected in the salary payment information will be applied to the contract request.

Note that when changing contract and salary payment information in a member's profile, a notification may be sent to the member.

I previewed the form while editing but non-taxable amounts are not showing

If you click [Preview] in the form editing screen and non-taxable items (such as meal expenses) are not showing even though you added the @wage allowance list auto-fill field, there is currently a known issue where non-taxable amounts are not included in the monthly payment amount in the form editing preview. When actually requesting a contract, non-taxable items are included in the monthly payment amount. Please check via the preview available within the contract request step!

Can the contract form be hidden so that only specific administrators or authorized users can see it?

Hiding the contract form so that only specific administrators or authorized users can view it, or restricting it to authorized users only, is currently not supported.

I accidentally deleted a contract form — can I restore it?

If a contract form is accidentally deleted, the deleted form cannot be restored. Please make careful decisions before deleting a form.

Can I reorder contract forms or organize them into folders?

Created contract forms are listed in the order they were created, and reordering or folder organization is currently not supported.
