Go to the left menu Attendance Management - Leave Management - Leave Balance tab, click Annual Leave Adjustment in the upper right, then click [Remaining Annual Leave Adjustment for Departing Employees].
In the departing employee remaining leave adjustment screen, you can see two columns under [Auto Grant]: [Labor Standards Act Basis] and [Company Policy Basis]. This allows you to check the grant quantities based on hire date vs. fiscal year date and proceed with the remaining leave settlement. flex is configured, in accordance with the Labor Standards Act, so that monthly leave granted to employees with less than 1 year of service expires at the 1-year anniversary of their hire date, and annual leave for employees with 1 or more years of service expires 1 year from the grant date.
If you defer the expiration of a member's annual leave in Settings - Annual Leave Settings - Annual Leave Policy - Annual Leave Expiration Settings, it will take effect from the grant start date. Therefore, if you only want to defer it for this year specifically, we recommend not changing the setting and instead granting additional leave through manual adjustment.
Since annual leave promotion also follows the expiration setting when deferral is applied, if you want to promote the use of annual leave for the current attribution year while also carrying over the remaining leave, we recommend setting it to [Expire after 1 year] and then granting the leave scheduled to expire as additional leave next year through manual adjustment.
Based on the 1/1 fiscal year date, remaining leave as of December 31, 2023 will automatically expire, so if there are 3 remaining days, please grant 3 additional days as of January 1, 2023.
The same applies to hire date basis — for an employee hired on 5/14, remaining leave as of May 13, 2023 will automatically expire, so please grant 3 remaining days on May 14, 2023.

This method considers the member's experience, but the leave will be marked as scheduled to expire on the 1-year hire date anniversary, which may cause confusion for members. Please guide members to use all leave before their hire date anniversary.
Monthly leave is split and granted on a fiscal year basis + annual leave is set as 'prorated annual leave' as shown below, with decimal points rounded up to the nearest day.
Based on the above, 4 monthly leave days are granted to an employee hired on August 22, 2023
The auto-grant value as of January 1, 2023 shows 13 days. (Annual leave 5.42 → rounded up to 6, monthly leave 7)
To bring the auto-grant value of 13 up to 15, manually adjust 'annual leave' by +2 days as of January 1, 2023.
Method that appears to deduct
This appears as if previously granted leave is being deducted, but since there are no monthly leave days marked as scheduled to expire in 2024, the detail summary table will look cleaner.

Applying the annual leave policy
To apply the new annual leave policy to a departing employee, access the departing employee's profile to apply it.
Ctrl + K → Search for the departing employee's name → Profile - Leave Information at the bottom → Click the Change button → Apply the policy you created.
However, even for a departing employee, when the annual leave policy is changed, the annual leave grant and expiration policy will be applied retroactively according to the new annual leave policy settings. This may affect remaining balances and other data, so please keep this in mind when changing the policy.

If you want monthly leave to not expire and continue to be usable,
go to Settings - Annual Leave Settings - Auto Expiration Settings - Monthly Leave Expiration Settings - configure it as No Expiration or Deferred so that monthly leave does not expire.
However, since this is applied retroactively from the grant start date of the annual leave grant method, monthly leave for all members using that policy may be restored.
Additionally, if set to No Expiration, monthly leave promotion will not proceed in Smart Annual Leave Promotion.
Please keep this in mind when making configuration changes.
If you only want to prevent monthly leave from expiring this year (rather than for new hires every year) and allow it to carry over, you can keep the monthly leave expiration setting as-is and adjust the monthly leave scheduled to expire to annual leave.

In the adjustment, adjust the number of monthly leave days being expired to a date earlier than the monthly leave expiration date.
Grant additional annual leave as of the monthly leave expiration date.
Once the adjustment is complete, the monthly leave expiration will disappear, and it will become annual leave that can be used for the annual leave usage period.
However, since it has been converted to annual leave, annual leave promotion may be triggered according to the annual leave promotion date. Please keep this in mind when making adjustments.

Changing annual leave policy settings will be applied retroactively from the annual leave grant start date. Due to this retroactive application, the existing remaining leave balance and the balance after the change can differ significantly.
Therefore, if you want to change the annual leave policy, we recommend first calculating how many leave days each member should have after the change (e.g., as of November 4, 2025: member Kim**, annual leave N days, monthly leave N days, etc.) before making the change based on those figures.
Also, changing the annual leave policy will affect annual leave promotion. For companies that run annual leave promotions, we recommend making the change either before the promotion starts or after all promotions have been completed.

First, flex calculates leave time used by converting it to daily units. For example, if a member with a daily scheduled work time of 8 hours used 5 hours and 30 minutes,
5 hours 30 minutes is calculated as 5.5h/8h → 0.6875 days, but due to flex's internal logic of rounding at the third decimal place, the annual leave details table shows 0.688. This can cause a discrepancy of about 1 minute due to the 0.0005 difference.
To accurately apply leave usage records for companies that allow 1-minute increments, the policy of rounding to the third decimal place is maintained. In practice, the 1-minute increment naturally offsets during actual leave usage, so no separate adjustment is needed.

flex calculates leave based on daily scheduled work hours = 1 day. If a member's daily scheduled work hours have changed, the 1-day reference has changed, so the displayed number will also change. For example, if a member with 8 hours of average daily work time uses 4 hours of leave, 0.5 days (4/8) are deducted. However, if they are reclassified as a part-time worker with 6 hours of scheduled work time, 4 hours of leave will be deducted as 0.67 days (4/6).

If a member with less than 1 year of service (mid-year hire) had annual leave used first when taking leave, or if there is still leave scheduled to expire after using all granted annual leave, the following situations may be the cause.

After confirming your company's annual leave grant method, enter the member's hire year/month/day in [Annual Leave Auto-Grant Preview] at the bottom.
Check when and how many monthly and annual leave days will be granted to the member based on the grant method settings.
Then go to [Attendance Management] - [Leave Management] - [Leave Balance], click on the member, and navigate to the [Annual Leave Details] tab.
The annual leave details screen allows you to see at a glance the monthly and annual leave the member received or is scheduled to receive this year, as well as the amount used. Additionally, by hovering your mouse over numbers in the table, you can check in detail the reason for leave grant, when it was used, why it will expire (it expires according to the annual leave expiration policy set by the administrator), and how many unused monthly leave days from the previous year were carried over.

When using the fiscal year date basis, the timing for granting additional leave is as follows.
When a member completes 3 full years from their hire date, 1 additional day is added to the 15 days for a total of 16. Thereafter, 1 additional day is granted every 2 years, up to a maximum of 25 days.
Annual leave is granted based on whether the 3-year full employment condition is met as of the fiscal year date (e.g., January 1). That is, if the 3-year condition is met on the fiscal year date, 15+1 days are granted, and 1 additional day is automatically added every 2 years thereafter.
Example: For an employee hired on May 1, 2021, the 3-year condition is not yet met on January 1, 2024, so 15 days are granted. Starting January 1, 2025, 16 days are granted. Thereafter, 1 additional day is added every 2 years in 2027, 2029, etc.
Therefore, for an employee hired on April 20, 2020, 1 additional day of leave will be granted every 2 years starting from 2024.
If you want to grant additional leave in the 3rd, 5th, and 7th year (counting from the first year), click Settings in the bottom left menu - Annual Leave Settings - Annual Leave Grant Method, then [View More Settings] -> [Grant Additional Annual Leave] -> enter the number 1 for the 3rd, 5th fiscal year, etc., click [Confirm] at the bottom, and save.
This way, additional leave can also be granted on the 3rd fiscal year anniversary after joining.

They expire precisely on the expiration date. The actual date the leave is used must be before the expiration date — not just the date it is registered.
For example, if the annual leave details show 2 monthly leave days scheduled to expire on August 7, 2025, the actual leave date must be before August 7, 2025. Registering before August 7, 2025 does not allow you to use the leave after the expiration date (e.g., September, October, etc.). The same applies to annual leave!

The 'Decimal Annual Leave Processing' setting in [Settings] > [Annual Leave Settings] > [Select Annual Leave Policy] > [Annual Leave Grant Method] set to 'Round Up to Half-Day/Full Day' refers to rounding up decimals when prorated annual leave is granted (when annual leave is granted to a mid-year hire on their first fiscal year date)!
If remaining annual leave is still shown in decimal units even though rounding up is configured,
it may be due to the annual leave usage unit settings.
When leave is used in 1-hour or minute increments, it will appear as a decimal when converted to days.
For example, if an employee working 8 hours uses 1 hour of annual leave, it becomes 0.125 days.
While decimal processing can be applied at the time of grant, please be aware that decimals may still appear when leave is used as described above.

When a member with less than 1 year of service leaves: For an employee who leaves before completing 1 year, typically only monthly leave generated on the hire date each month will have accrued. For example, if a member joined on August 4 and left on December 9, monthly leave would have been generated on September 4, October 4, November 4, and December 4 — a total of 4 days. Please use the Remaining Annual Leave Adjustment for Departing Employees feature to settle the accrued amount minus the amount used during employment. When it appears that a member's unused annual leave from the previous year has been carried over, please check the following!
Check the previous year's annual leave details in the member's annual leave details tab. Hover your mouse over the remaining column in the previous year's annual leave details to check whether the remaining leave is monthly leave or annual leave.
If the previous year's unused leave carried over is monthly leave the member received, monthly leave does not expire when the year changes. Under the Labor Standards Act, monthly leave granted to mid-year hires is granted and expires based on the hire date. Therefore, even at companies that grant leave based on a fiscal year date, the monthly leave granted to mid-year hires each month is granted one at a time on the hire date each month, and unused monthly leave expires at the member's 1-year anniversary.
If the member's unused carried-over leave is actual annual leave (not monthly leave), please check the annual leave expiration policy.
Go to Settings in the bottom left menu - Annual Leave Settings - Annual Leave Policy Settings, click Annual Leave Expiration Policy, and check whether the expiration policy for monthly and annual leave is set to 'Expire after 1 year', or whether there is a separate deferral setting.

Half-day leave time is automatically calculated based on the default start time and daily scheduled work hours set in the work type.
For example, if the default work hours are 10:00 ~ 19:00, selecting 'afternoon half-day' will apply 15:00 ~ 19:00. Even if work was registered in advance with hours set to 8:00 ~ 17:00, flex calculates half-day leave time based on the work type settings, so it may differ from the previously approved work hours (e.g., 13:00 ~ 17:00).

Currently, flex does not send separate notifications to managers or members on the day a member takes annual leave.

You can notify all members that leave cannot be taken on certain dates by going to the Home Feed in the left menu - clicking Share with Colleagues in the upper right - Write an Announcement.
In addition to announcements, if you want to restrict leave registration, you can designate a specific weekday as a holiday (public holiday) through Days Off settings in the left menu Settings - Days Off to restrict leave registration. However, if added as a day off, the system treats that date as a public holiday, excluding it from target work hours, and work registered on that date will be treated as holiday work.

If the leave type is [Granted upon Request] but the remaining leave days in the member's leave overview appear different from what the administrator intended, it is usually because the member registered leave → cancelled → registered only a portion (e.g., half day, etc.). If only part of the originally received leave has been used, the remaining leave does not disappear but returns to that leave bucket. In this case, you can reclaim the leave from the member's leave overview!

The [Include Break] option that appears when registering leave cannot be hidden by administrators arbitrarily, and the leave end and start times cannot be fixed. In particular, for flexible work type members, since there is no daily scheduled work time or start time, members registering morning/afternoon half-day leave may be confused. A specific guide on how to register morning/afternoon half-day leave and from what time may be needed!

Public holidays are statutory holidays, so paid annual leave cannot be registered on those days. If you need to allow paid annual leave registration on statutory public holidays, you must delete the public holiday in Settings - Days Off in the left menu. (Labor Day cannot be deleted.)

Leave registered for 2026 will be deducted from the annual leave available at the time the leave is actually used.
That is, if leave is used on a date in 2026, it will be deducted from the annual leave granted for 2026, not from the 2025 annual leave balance.
For example, if today is November 30, 2025, and you register leave for January 2, 2026, it will be deducted from the annual leave granted for 2026!

Annual leave must be registered so that the actual date of use is before the expiration date.
For example, if the annual leave expiration date is December 31, 2025, the actual day the annual leave is used must be before December 31. Please note that the leave must actually be used (not just registered) before the expiration date to avoid expiration!
